Instructions for Oral Presenters

ORAL PRESENTATION INFORMATION

Speakers’ Ready Room

The Speakers’ Ready Room is located at Kaveri 2-3, Level 2,ITC Grand Chola Hotel.
Speakers and oral presenters are requested to upload PowerPoint slide presentations at least 3 hours prior to your session (or 2 hours prior for September 6th morning sessions). There will be a technician available to assist you during the following hours.

Monday, September 7, 2015 07.00 – 18.00
Tuesday, September 8, 2015 07.00 – 18.00
Wednesday, September 9, 2015 07.00 – 18.00

 

Speaker Presentation

Please note that we will be collecting the invited speaker presentations onsite to be uploaded to the Congress website following the Congress. You will need to sign a release form in the Speaker Ready Room in order to provide your consent to publish your presentation.

 

Format for PowerPoint Presentation

  • The accepted formats are PowerPoint 2010 and later.
  • In preparation of your presentation, please note that the suggested slide ratio is 4:3.

 

Font size & orientation (page set-up) of your presentation

  1. Kindly remember when preparing your PowerPoint slides, that the font size should be large enough so that when projected it can be seen from the rear of the session hall.
  2. Please also remember that your PowerPoint slide presentation should be prepared in a landscape format and NOT Portrait.

Data Presentation:

For PowerPoint presentation,please note you need to bring it on USB Memory stick and load it on one of the congress computers in the Speakers’ Ready Room at least 3 hours before the start of your session (or 2 hours prior for September 6th morning sessions).

If you are combining video films with PowerPoint, please make sure to check it in the session hall where your lecture is taking place, recommended between 11.30am – 12.15pm on the day of your presentation – even after checking it in the Speakers’ Ready Room, or during a break at least 60 minutes before the start of the session.

Please note that the congress computers in the session halls are being supplied with Office 2010.

Although not recommended, you may supply your own laptop computer.In such a case please confirm that it has a suitable VGA adaptor for external signal. Please advise the operators in the Speakers’ Ready Room as soon as you arrive and and later on in the session hall where your lecture is taking place during the coffee or lunch break prior to your session, at least 60 minutes before the start of the session.

PowerPoint Presentations:

  • Only single PowerPoint projection will be offered at the Congress. It is important to note that no other Audio Visual equipment will be provided.
  • Each session hall will be equipped with a laptop and data projector.
  • Any embedded movies or sound files should also be included on the USB stick drive as separate files, for back-up purposes.
  • PLEASE BRING A HARD COPY BACK-UP OF YOUR PRESENTATION WITH YOU.

 

Important note for Macintoch​ users:

In order to use MAC presentations on a PC compatible computer please note that you need to prepare it according to the instructions below, before bringing it to the Speakers’ Ready Room:

  1. Use a common font, such as Arial, Times New Roman, Verdana etc. (special fonts might be changed to a default font on a PowerPoint based PC).
  2. Insert pictures as JPG files (and not TIF, PNG or PICT – these images will not be visible on a PowerPoint based PC).
  3. Use a common movie format, such as AVI, MPG and WMV

Alternatively you may use your own Macintosh laptop computer(although this is discouraged). In such a case please provide it with a VGA adaptor for external signal, advise the operators in the Speakers’ Ready Room about it as soon as you arrive and later on test it in the session hall where your lecture is taking place during the coffee or lunch break prior to your session, at least 60 minutes before the start of the session.​

Please note that VHS Video projection, 35 mm’ slide projection and Overhead projection (projection of transparencies) will not be available.

 

At the Session Hall

  • Assemble in your session room at least 10 minutes before the beginning of the session.
  • Ensure that you sit near the front of the room with easy access to the right hand side of the stage.
  • Ensure that you keep to the time allocated to you, as it will cause disruption to sessions if you run over your allotted time.
  • If there are any changes or corrections required to the presentation details, please let the Technician know as soon as possible.
